Inquiry Inbox Overview

Inquiries Inbox in Sympl plays a crucial role in managing communication and streamlining various operations related to property management. Property managers can send invoices or booking confirmations directly through the inbox, keeping everything in one place.

In Sympl you can access the Inquiries Inbox from the Inbox navigation menu as shown below. You can see all of the bookings/inquiries on the left side and on right side you can view further details.

At the top of the inquiries list, you'll find the icons for the options below:

Search: Quickly find inquiries using keywords.

Filter: Locate inquiries by selecting options such as rental, source and status.

Actions: Perform bulk actions on selected inquiries - see below.

Refresh: Update the inbox to view the latest inquiries.

Sort by: Organize inquiries based on selected option - see below.

On top right corner of the inquiry details area, you have Actions and Configuration options.

The Actions icon allows you to perform different actions on that particular inquiry - see below.


Click the Configure icon (two horizontal sliders) in the top right corner to customize what sections you will like to hide or show for your inquiries.

On the top of the page, you can see some more items such as:

Mark as dropdown: Update the selected inquiries as unread, paid, archive, follow-up or checked-in.

Copy icon: This allows you to clone the selected inquiries.

Print Booking: Print the selected bookings.

Archive Booking: Archive the selected bookings.

Refresh Icon: Refreshes your inbox threads.

Multi Calendar Icon: Access the multi-calendar view to manage availability and rates across rentals.

Automation: Opens up an overlay to allow you to view or create new Booking and Message Automations. This requires a subscription to Automations from the App Store.

AI Setting: View and customize your AI settings for inquiries. This requires a subscription to Advance Intelligence from the App Store.

Add Inquiry: Create a new inquiry manually.

Cancel: Cancel the existing booking and update availability.

Inquiry detail Overlay

Each Inquiry has a set of tabs, lets explore one by one:

Message Tab

This tab shows all kind of messages communicated between guest and property manager. It covers all medium of conversations mentioned below:

  1. Email

  2. WhatsApp

  3. SMS

  4. Facebook

Invoices Tab

This tab covers all the details of invoices linked to this guest. To learn more about Invoices please visit this help article

Security Deposits Tab

This tab shows existing security deposits for the inquiry and also allows you to create a new deposit.

Flights Tab

This tab contains all the flights created by property manager for this booking. Add Flight option is available in bottom of screen.

Other Bookings Tab

This tab contains all the other bookings linked to same rental.

Attributes

This tab contains ability to add custom fields for booking as per property manager's business needs.

Comments

This tab contains all comments added by the property manager for this booking/inquiry.

Property managers can add a comment using Add icon available.

Logs

You can see all the logs related to this booking under this tab whenever change happens in the booking details.

Documents

All documents sent to guest related to this booking will appear here. To learn how to send documents, please explore documents section.

Reviews

Any reviews for the booking will be shown on this tab.

Tasks

All tasks created and sent to users regarding this booking will appear here. To learn how to create and task assign to users, please explore tasks section.

Expenses

On right hand side if you scroll down you can see some more sections:

Basic Details: You can view or edit all of the Guest's (Main and Additional) basic details, when clicking into an inquiry and looking under the Details section of the inquiry.  To edit the info of the guest, click on the edit icon to open up the Main Guest or Additional Guests detail overlay.

Booking Details: You can view or edit all of the booking details, when clicking into an inquiry and looking under the Details section of the inquiry.  To edit the info of the booking click on the edit icon to open up the booking details overlay.

Booking Charges: You can view or edit all of the booking charges, when clicking into an inquiry and looking under the Details section of the inquiry.  To edit the charges of the booking click on the edit icon to open the Update Quote Details overlay.

Occupied Dates: This section will show the bookings in the form of Rental's color (dot) that is made for the Guest against an inquiry.

Related Invoices: View and manage invoices linked to the inquiry.

Notes: Add or review notes related to the inquiry.

Access Code: Link device or view the access code for the guest.

Linking Inquiries

Linking inquiries allows you to associate multiple items in your inquiry inbox.

Once inquiries are linked, all messages, invoices, notes, and flight information from every linked inquiry will be displayed together. So clicking on one inquiry will show you all the information from every inquiry to which it’s linked.

So why link inquiries? Sometimes a guest will correspond from multiple email addresses regarding the same inquiry, or different guests will email about the same inquiry from their own email addresses.

This may lead to many inquiry entries in your Sympl inbox regarding the same booking.

The best way to resolve this is to link the associated inquiries and archive the ones which you do not plan to use. It is recommended that you archive all but one of the linked inquiries after linking.
